Budget Calculator Methodology
How the Birthday Party Budget Calculator estimates total cost, category-by-category — what each default means, where the ranges come from, and what we deliberately chose not to include.

How We Calculate
Each budget category contributes a min and max cost. The model is: a flat base cost per category plus a per-guest component that scales linearly with guest count. Extras (live entertainment, photographer, etc.) add a flat range. Venue is toggled separately because home parties have no venue cost while rented venues add $100–300.
Core formula
categoryMin = baseCostMin + (perGuestMin × guestCount) categoryMax = baseCostMax + (perGuestMax × guestCount) totalMin = Σ categoryMin + Σ extraMin + (isRented ? venueMin : 0) totalMax = Σ categoryMax + Σ extraMax + (isRented ? venueMax : 0) comparisonVs500 = (average(totalMin, totalMax) − 500) / 500 × 100%
Category Defaults (per-guest components scale with count)
| Category | Base | Per guest | Why this range |
|---|---|---|---|
| Food & Drinks | $30–60 | $5–12 | Pizza + basic drinks at the low end; catered finger food at the high end. |
| Birthday Cake | $25–75 | $1–3 | Grocery-store sheet at the low end; custom bakery at the high end. |
| Decorations | $20–50 | $1–2 | Dollar-tree basics vs. themed kits and a balloon arch. |
| Games & Activities | $15–40 | $2–5 | DIY treasure hunt through to take-home craft kits. |
| Party Favors | $0–10 | $3–8 | Optional — can skip (true $0) or buy curated themed bags. |
| Paper Goods & Supplies | $10–20 | $1–2 | Plates, napkins, cups, utensils — per-guest driven. |
| Venue (rented) | $100–300 | $0 | Only applied if you toggle "rented venue"; home = $0. |
Benchmarking
The calculator compares your estimated total against a $500 US averagefor a home party with 10–15 guests. Over 120% of average triggers a "high-cost" note; under 60% triggers a "very affordable" note.

What We Deliberately Don't Model
Gifts. The celebrant receives gifts; they aren't a planning cost for the host. Travel and accommodation for out-of-town guests — too situational. Alcohol for adult parties — broken out in the drink calculator, not here, to keep this tool family-friendly by default. Gratuities for delivery/entertainers — add 15–20% to the upper bound if you're tip-conscious.
